Privacy Policy

Effective October 26, 2026. ConversationQA is operated by ALEX SMART TECH LLC ("we", "us").

What we collect

When you use ConversationQA, we collect: your account email address and name (if provided); your organization information; the scorecards in your organization; the conversation transcripts you choose to submit; the analysis results produced from them; and basic audit events such as "analysis created" or "analysis deleted" (audit events never contain transcript content). We also keep the session data needed to keep you signed in.

How we use it

We use this information only to operate the service: signing you in, scoring the transcripts you submit, showing your results and history, and maintaining and securing the service. Sign-in emails are sent through our email provider. We do not use your transcripts to train models, and we do not use your information for advertising.

How transcripts are handled

Transcripts may contain personal or confidential information. You choose, for each analysis, whether the transcript is retained: if you choose "retain", the transcript is stored with the analysis in our database; if you choose "do-not-retain", the transcript text is not stored after evaluation — only the result and the short evidence excerpts quoted from it are kept, as part of the analysis result. We do not log transcript contents, send transcripts to analytics services, or include them in error messages.

How evaluation works

Scoring is performed by ConversationQA's built-in evaluation engine running on our own infrastructure. No external AI provider receives your transcripts.

Sharing and service providers

We do not sell personal information. We rely on service providers that process data only to run ConversationQA for us: Cloudflare (hosting and database) and Resend (email delivery). Access to analyses is scoped to your organization — users can only see their own organization's scorecards and analyses. We may disclose information if required by law.

Retention and deletion

You can delete any analysis from its result page or from your history at any time. Deleting an analysis permanently removes its stored transcript, evidence, and result records; the remaining audit event keeps only the organization, user, event type, and the deleted analysis ID. To delete your account entirely, contact us at the address below.

Security

ConversationQA is served over HTTPS, and stored data is protected by our hosting provider's storage protections. We do not claim compliance certifications such as HIPAA, SOC 2, or PCI. Please only submit conversations you have permission to analyze, and remove information your own policies do not allow you to share.

Children

ConversationQA is a business tool and is not directed to children under 13.

Changes to this policy

If we change this policy, we will post the updated version on this page and update the effective date above.
